Free Parish Website is a free tool from Briefcase Marketing LLC, 3304 Easton Road, Norton OH 44203 (Dan Fuerst). After you confirm your email, the tool reads the public pages of the website address you pasted: up to 12 pages for the mockup, and up to 30 more for the ministry and sacrament pages. It follows your robots.txt, introduces itself as FreeParishWebsiteBot, and never reads Parishes Online or LPi. It changes nothing on your site. The crawler has its own page at /bot.
We keep the email address you enter, your role (pastor, staff, volunteer, parishioner, diocese or other), your parish website address, and the mockup built from your pages. We also keep the time you confirmed the permission box and which version of the Terms it was. The mockup holds what your website already shows in public, including staff names and contact details found there, and anything you add: photos you upload, their descriptions, and the "Suggest a change" notes you type (500 characters at most each). We don't keep your IP address. To count daily limits we keep a one way scrambled code made from it, for 2 days.
How long we keep it. A mockup and the website data copied for it are deleted 30 days after we send you the mockup, and its link stops working then. That includes the photos you added, your notes, and the working copies from the deeper read. Any file we stored for a download is deleted in any case within 45 days. Your email address is deleted 12 months after you entered it. An address that never confirms is deleted soon after its confirmation link expires.
Who handles your information for us. Cloudflare hosts the tool and stores the mockups and photos. Cloudflare also keeps its own logs of requests to the site, such as IP addresses and page paths, and Turnstile, which checks that a form visitor is a person, receives the visitor's IP address. Brevo sends our emails, so it has your address and the messages, and keeps its own record of each email sent. Each email also carries a small hidden image from Brevo. When an email is opened with images showing, Brevo records the time and an IP address (for Gmail and some other apps, that address belongs to the app's own image server), and it may also see which email app was used. We don't read Brevo's reports of opened emails. Brevo also adds an Unsubscribe link that your email app may show, and pressing it may stop Brevo sending you our later emails, including mockup links. Anthropic's Claude AI writes the headline, the short line under it and the section headings, and a second pass checks them. If you sign up for the $250 a month plan, Stripe processes your payment: you pay on a page hosted by Stripe, so your card details go to Stripe, not to this tool, and Stripe tells us that you signed up and emails you your receipts and subscription notices. If you ask for an invoice, we send it through QuickBooks. Each of these keeps its records under its own policy, and we keep payment and signup records as long as tax and accounting rules require.
What goes to the AI. Anthropic receives text from your public pages, with email addresses and phone numbers replaced before it's sent. By default Anthropic deletes what it receives and writes through its API within 30 days. Content its safety systems flag can be kept for up to 2 years, scores from its safety checks for up to 7 years, and anything the law requires it to keep is kept longer. We don't sell your information. The tool shares it only with Cloudflare, Brevo and Anthropic, and Stripe or QuickBooks handle it only if you sign up for the paid plan or ask for an invoice.
Your mockup link. Anyone who has your mockup link can see the mockup, add or delete photos on it, and remove the mockup, so share it only with people you trust. Mockup pages ask search engines not to list them. The tool's own logs record codes and counts, not email addresses, web addresses, page text or notes. The daily counts behind a weekly report, with no names in them, are kept 90 days. When a parish or a person asks for a removal, we note the date, how we confirmed it and, for a parish, its website, never a person's email address. To ask what we hold about you, or to have it removed, write to dan@briefcase.marketing. To remove a mockup or a parish, see "Remove my parish" in the footer.
